How to Use Financial Reports to Make Better Business Decisions

Financial reports aren't just documents you hand to your accountant or the tax authorities. They're some of the most valuable decision-making tools available to a small business owner — if you know how to read them.

The Profit & Loss Statement (P&L)

The P&L shows your revenue, costs, and net profit over a period of time. Review it monthly. Look at your gross profit margin and your net profit margin. Are they improving or declining over time? If your revenue is growing but your margins are shrinking, costs may be getting out of control.

The Balance Sheet

The balance sheet gives you a snapshot of what your business owns (assets), what it owes (liabilities), and the net worth (equity) at a specific point in time. Watch your current ratio (current assets divided by current liabilities — ideally above 1.5).

The Cash Flow Statement

This is the report many small business owners overlook — and it's often the most important one. A business can be profitable on paper but still fail if it runs out of cash. Review your cash flow statement to understand your operating cash position and plan for big upcoming expenses.

Making It a Habit

Set aside time at the end of each month to review these three reports with your accountant or advisor. Ask questions. Look for trends. Compare this month to last month, and this year to last year.
